Work Schedules and Availability

Each ISS employee has an approved work schedule.

Work schedules help the department maintain service coverage, support customers, schedule meetings, coordinate projects, and understand when employees are available.

Normal College operating hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. The College workweek begins at 12:01 a.m. Saturday and ends at midnight the following Friday. Individual approved schedules may vary based on College schedules, departmental needs, and approved alternate work arrangements. (Remote and Alternate Work Schedule Procedure DJ-V)

Approved Work Schedule

Employees should work the schedule approved by their manager.

The authoritative ISS record of regular employee schedules is maintained in the Team Info folder.

Schedules should identify actual working hours and the normal meal period rather than describing a workday only by its total elapsed length. Any hours performed while telecommuting should be marked with "(T)."

ISS may operate under different schedules during different parts of the year, including the College's summer schedule.

Employees should follow the schedule currently established by the College and approved by their manager.

A permanent or recurring work schedule that varies from normal College operating hours requires an alternate work schedule.

Schedule Changes

Employees should not routinely change their working hours without communicating with and receiving approval from their manager.

Temporary adjustments may sometimes make sense because of:

  • Maintenance
  • Project work
  • College events
  • Customer needs
  • Appointments
  • Travel
  • Professional development
  • Other operational needs

Work with the manager when an adjustment is needed.

Availability During the Workday

Employees are expected to be reasonably available during their approved working hours.

Depending on the job, this may include availability through:

  • Microsoft Teams
  • Email
  • Telephone
  • Meetings
  • Tickets
  • In-person communication

Availability does not mean immediately responding to every message.

Employees need uninterrupted time to troubleshoot, complete projects, attend meetings, perform maintenance, and concentrate on assigned work.

It does mean coworkers and customers should have a reasonable way to determine availability and contact the employee when needed.

Calendars

Outlook calendars should accurately reflect meetings, appointments, approved time away, remote work when appropriate, and other commitments that materially affect availability.

Detailed calendar expectations are defined in Communication and Collaboration — Calendars and Availability.

Coverage Matters

Managers should consider service and customer coverage when approving schedules.

Certain responsibilities may require:

  • Specific campus coverage
  • Help Desk coverage
  • Maintenance windows
  • On-call availability
  • Scheduled customer support
  • Project coordination
  • Backup coverage

Individual schedule preferences must be balanced against the operational needs of the College.

Lunch Periods

Employees should take lunch periods consistent with their approved schedule and College requirements.

Employees working remotely or on an alternate schedule remain responsible for following the meal schedule established for their work arrangement. College procedure specifically requires remote employees to follow the department's established lunch schedule. (Remote and Alternate Work Schedule Procedure DJ-V)
