Email

Email is an official communication method at McLennan Community College. Employees must use their MCC email account when conducting College business. College email is subject to applicable public information, privacy, records retention, and College technology requirements.

ISS employees are expected to regularly monitor their MCC email and respond according to the response expectations established in the ISS Communications Standard.

Email is appropriate when:

  • Communicating information that does not require immediate interaction.
  • Communicating with individuals or groups outside of ISS.
  • Providing information that should be retained as part of normal College correspondence.
  • Requesting or documenting approvals when email is an approved method.
  • Following up on conversations or decisions.

Email should not replace the ticket system for technology service requests. When an employee receives a request for ISS work through email, the work should be entered into the ticket system when required by the ISS Communications Standard.

Likewise, email should not become the primary record of technical work. Information necessary to understand, continue, or support work should be documented in the appropriate ticket, project artifact, or documentation system.

Email Signatures

McLennan Community College maintains an official Email Signature Standard. ISS employees must follow the current College standard when creating or updating their MCC email signature.

The College standard requires the following information:

  • Full name
  • Job title or position
  • Department or office
  • McLennan Community College
  • Office phone number
  • College website

The standard also establishes requirements for fonts, colors, logos, accessibility, and other formatting. Quotes, slogans, personal images, decorative fonts, custom backgrounds, and colored text should not be included in MCC email signatures.

Employees should refer to the current MCC Email Signature Standards maintained by Marketing & Communications rather than copying another employee's signature as a template.
