Scheduling Rooms and Campus Spaces

All classes, meetings, and events held on campus must be scheduled through the appropriate College scheduling process. Employees should follow the current requirements published on the MCC Facilities Scheduling page, including applicable submission deadlines and room-specific scheduling instructions.

Room scheduling helps ensure that spaces are available, avoids conflicts, and provides Campus Police, Facilities, and other College offices with accurate information about scheduled activities.

The Facilities Scheduling page is the authoritative source for scheduling spaces on Campus.

Conference Rooms Scheduled Through Outlook

Many College conference rooms can be scheduled directly through Outlook by adding the room to the meeting invitation.

Current examples include:

  • LTC 212
  • LTC 222
  • MAC 139
  • MAC 326
  • S 115
  • Most other conference rooms

Employees should use Outlook's Scheduling Assistant to review room availability when scheduling these spaces. Note that a member of the Office of Institutional Research & Effectiveness department will likely need to approve the meeting request. 

Other Campus Rooms and Spaces

Many classrooms and campus spaces require submission of the College Room Request Form.

Some specialized facilities require coordination with the department responsible for the space.

Because available rooms, contacts, and scheduling processes may change, employees should use the College's current Facilities Scheduling page rather than relying on a static list maintained in this manual.

Checking Room Availability

Employees may use the Informer report Room Scheduling for Specified Rooms and Date Range to review existing reservations.

The Room Capacities Informer report can also help identify appropriate rooms based on size and available space.

Using College Spaces

Employees are responsible for using scheduled spaces appropriately.

If furniture or equipment is moved for a meeting or event, the room should be returned to its normal configuration when the event is complete.
