Timesheets and Absence Reporting

Accurate time and absence reporting is a College requirement.

ISS employees are responsible for understanding the reporting process that applies to their employment classification and for submitting required records accurately and on time.

Biweekly and Non-Exempt Employees

Employees who use the College's biweekly timekeeping process should accurately record hours worked and leave used in the current College timekeeping system.

Biweekly employees currently submit their time through MyMCC

Employees should follow current Payroll instructions and submission deadlines.

Time records should reflect actual hours worked.

Employees should not alter, omit, or inaccurately report time because work was not scheduled or approved.

Approval determines whether work should be performed. Time reporting records what actually occurred.

Monthly Professional Employees

Monthly professional employees use the Employee Absence Report rather than a biweekly timesheet.

College Administrative Procedure DEC-I — Absence Reporting, Monthly Professional Staff requires monthly professional employees to report applicable absences and complete the Employee Absence Report by the fifth day of the month following the absence. The report is then submitted to the immediate supervisor for review and approval.

Record Leave Accurately

Time and absence reporting should accurately reflect applicable:

  • Vacation
  • Sick leave
  • Personal leave
  • Compensatory time
  • Leave without pay
  • Other approved leave

Questions about which leave category applies should be directed to the manager or Human Resources rather than guessed.

Remote and Alternate Work

An approved remote or alternate work schedule does not change the requirement to accurately report work and leave.

College procedure requires employees using those arrangements to submit appropriate leave when they are not working their established hours. (McLennan Community College)

Review Before Submission

Employees should review time or absence records before submitting them.

Check for:

  • Correct dates
  • Correct hours
  • Correct leave categories
  • Missing entries
  • Approved overtime or compensatory time when applicable

Errors should be corrected promptly when discovered.

Manager Responsibilities

Managers should review submitted records for accuracy and consistency with approved schedules, leave, and known work activity.

Questions should be resolved before records are forwarded whenever practical.
