How to Access Email
Overview
This article provides instructions on how to log into your Office 365 email for both McLennan Community College employees and students. Steps are included for accessing email via the web, Outlook desktop, and the Outlook mobile app.
Office 365 email accounts are being created between December 13th and 15th. During this time your current Exchange (employees) and Gmail (students) email will stop working and you will be required to access your new Office 365 email account. At that time, follow the below instructions to log into your new email account. Students will get one last email to your Gmail accounts once your account is created letting you know your Gmail email will no longer work and to log into your new Office 365 email account.
Trying to log into your new email before your account is created between December 13th and 15th will fail. Until your account is created, please continue to check email at Access Student Email and Access Employee Email.
Getting Started
What is my Email Address?
Your email address is not your username. If asked for your username for any application, please use your initials and ID number if you are a student and your first initial and last name if you are an employee.
- Students: first initial of your first and last name + 7-digit MCC ID number + @students.mclennan.edu (e.g. jd0000000@students.mclennan.edu).
- Employees: first initial of your first name followed by your last name + @mclennan.edu email address (e.g. jdoe@mclennan.edu).
Outlook Online
Go to www.mclennan.edu and follow the instructions below based on your role:
- Students: Select I am > Student > Student Email. Enter your @students.mclennan.edu email address and password to log in.
- Employees: Select I am a Faculty/Staff Member > Email. Log in using your @mclennan.edu email address and password to log in.
Mobile Outlook App
Employees using the old exchange email will need to remove the account before adding the new Office 365 email. Instructions at Employees Only: Remove Old Account in the Outlook Mobile App (if Applicable).
Setup New Email Account
- Open the Outlook app on your phone.
- Select "Add Account".
- Enter or select your @mclennan.edu or @students.mclennan.edu email address:
- If you are prompted to select the type of account:
- The account type is: Office 365.
- The account created type is: Work or School account.
- Enter your current MCC password.
- Follow the sign-in prompts and authentication steps.
- Select Maybe Later when asked to add another account to complete setup.
Mobile Outlook App Advanced Settings

Employees Only: Remove Old Account in the Outlook Mobile App (if Applicable)
This step is required if you currently use the old Exchange account on your mobile device.
- Open the Outlook mobile app.
- Select the Exchange icon at the top left.
- Select the Gear icon at the bottom.
- Select Accounts under General.
- Click your @mclennan.edu Exchange account.
- Click Remove.
- You may now add the new Office 365 account following the Setup New Email Account steps above.
Outlook: Employees Switching from Exchange to Office 365
Any Outlook rules created while using the old Exchange email may need to be deleted and recreated after logging into your new Office 365 email.
Outlook (Classic)

Ensure Outlook is fully closed.

Reopen Outlook (Classic).

If prompted, enter your @mclennan.edu email address and password.
Outlook (Recommended)

Open Outlook.

Delete the old @mclennan.edu account:

Go to File > Account Info > Your Accounts

Select Manage next to the account

Choose Remove

Add your Office 365 account using the instructions at Outlook: Adding Email (Students and Employees).

Outlook (Classic)

Open Outlook (Classic).

If no accounts are configured, Outlook will prompt you to add one.

If Outlook does not prompt automatically:

Go to File > Account Settings > Account Settings > New.

Enter your @mclennan.edu or @students.mclennan.edu email address.
- Enter your current MCC password.

Follow the sign-in prompts and authentication steps.
Outlook (Recommended)

Open Outlook.
- If no accounts are configured, Outlook will prompt you to add one.
- If Outlook does not prompt automatically:

Select File > Account Info > Your Accounts > Add account.

Enter your @mclennan.edu or @students.mclennan.edu email address.
- Enter your current MCC password.
- Follow the sign-in prompts and authentication steps.
Google Email Data (Students)
Students will retain access to their old email messages in Google for one year. After that period, all emails will be permanently deleted. Follow the below steps to save your Google email before they are deleted.
- Follow the How to Use Google Takeout to Save All Your Gmail steps and only select to save your email.
- Use the instructions in the Open a Recovered .MBOX File article to view your saved emails.
Policy
Your official McLennan Community College email account is provided through Office 365. All students and employees must use their official college email addresses when conducting college business as per MCC's Official Email Communication Policy.
Termination of Office 365 Account Access (Students)
After a 12-month period without any active courses, your student email account and all associated data, including Office 365 OneDrive, will be deleted.
- It is not recommended to use your student email for long-term personal use or to link it with third-party services.
- Update any accounts linked to your student email with a personal email before leaving MCC.

Troubleshooting
Office 365 accounts may a few minutes to sync with the new password. It is recommended to wait between 5 (five) and 15 (fifteen) minutes for all applications to sync before trying to log in. You may also check that you do not have a cookie issue on your browser if you are not able to log in after 15 minutes.
