Former Student Account Deletion: What to Know and How to Save Your Data

Overview

If you haven’t taken a class at MCC in over 365 days or one (1) year, your school accounts (like email and cloud storage) will be permanently deleted — but your official student records, such as transcripts and enrollment history, will not be affected. This guide explains which accounts will be affected, how to save your data, and a reminder to update any services (like social media or streaming apps) that use your student email — before it's too late.

All your files and emails stored in your MCC-provided third-party accounts will be lost unless you save them ahead of time. Once your data is deleted, the data cannot be recovered and any emails sent to your student email address will not be received or retrievable.

The following accounts will be deleted, and all data inside them will be permanently erased:

  • Office 365 (including Outlook and OneDrive)
  • Gmail
  • Google Drive
  • Yuja (videos stored in Brightspace)
  • Zoom (cloud recordings only)

Getting Started

Before you hit the 365-day mark since your last class, take the following steps to avoid losing data and access to personal services.

Save Your Data

Back up anything important like class files, emails, and videos to a personal email or cloud storage account.

  1. Log into each of your MCC accounts (Office 365, Gmail, Drive, Yuja, Zoom).
  2. Download any files or emails you want to keep.
  3. Store them in a personal account or external drive.

Update Other Services

Make sure your student email isn’t linked to any other accounts (like social media or streaming apps) and isn’t set as the email for password resets or account recovery.

  1. Remove your student email from phones, computers, or tablets.
  2. Update the email address on accounts like Netflix, Spotify, Instagram, etc. to a personal email.
  3. If you used your student Office 365 to log into a computer, switch to a personal or local account instead.

How to Save Data from Office 365

Office 365 includes your MCC email and OneDrive. Here's how to save both.

Save Your OneDrive Files

  1. Go to portal.office.com and log in.
  2. Click Apps. 
  3. Click on the OneDrive icon.
  4. Click My Files.
  5. Select any files or folders you want to keep.
  6. Click “Download.” The files will be saved as a ZIP file on your computer.

Save Important Emails from Outlook

  1. Go to portal.office.com and log in.
  2. Click Apps. 
  3. Click Outlook.
  4. Open any email you want to keep.
  5. Use the “Print” option and choose “Save as PDF” to keep a copy, or copy and paste the content into a personal document.

How to Save Data from Gmail and Google Drive

Save Gmail Emails

  1. Go to Gmail.
  2. Download or forward any emails you want to save to a personal email address.

Save Google Drive Files

  1. Go to Google Drive.
  2. Right-click on any file or folder you want.
  3. Choose “Download” to save them to your device.

Save Google Photo

  1. Go to Google Photo.
  2. Select any file or folder you want.
  3. Select the 3 dots at the top of the screen. 
  4. Choose “Download” to save them to your device.

How to Use Google Takeout to Save All Your Gmail, Google Drive Data, and Google Photos

Google Takeout is a tool that lets you download a copy of everything in your Google account, like emails and files in Google Drive. Follow these steps to back up your data before your MCC account is deleted.

  1. Go to https://takeout.google.com.

  2. Click “Deselect all” at the top so you're not downloading everything by default.

  3. Scroll down and check the boxes for “Mail” and “Drive” (or anything else you'd like to keep).

  4. Scroll to the bottom and click “Next step.”

  5. Under “Delivery method,” choose “Send download link via email” (this is the easiest option).

  6. Leave the frequency, file type, and size options as they are, and click “Create export.”

  7. Google will begin preparing your download. You’ll get an email when it’s ready — this might take a few minutes, hours, or even days depending on how much data you have.

  8. When you receive the email, click the link and download the Zip files to your personal computer or storage service.

  9.  Make sure to store it somewhere safe, like your personal Google Drive or an external hard drive.

How to Save Videos from Yuja

If you uploaded or recorded any videos in Yuja through Brightspace, follow these steps to save them.

  1. Log into Brightspace.
  2. Click the Yuja Video link on the Banner.
  3. Find the video(s) you want to download.
  4. Hover over a video and click the “More” button (three dots).
  5. Choose “Download” and select the file format.

How to Save Zoom Recordings (Cloud Only)

Only Zoom recordings saved to the cloud are deleted. Follow these steps to keep your recordings.

  1. Go to https://mclennan.zoom.us/ and log in with your MCC account.
  2. Click “Recordings” on the left sidebar.
  3. Under the “Cloud Recordings” tab, find the videos you want to save.
  4. Click “More” next to the recording and select “Download.”

Important Information

  • Once deleted, your data cannot be recovered.
  • Once your email account is deleted, you will no longer have access to it, and any emails sent to that address afterward will not be received or retrievable.
  • Your student records (like transcripts) are not affected. You can still log into MyMCC to view your official records.
  • If you return to MCC, your accounts will be recreated—but old data will not be restored.
  • If you lose access to services (like social media or streaming apps) linked to your deleted student email, you’ll need to contact those services directly to update your email address.
