How to Access Email
Overview
This article explains how to log in to your MCC Microsoft Office email. Employees and students use different email formats, but the login steps are the same. You can access your email through a web browser, a computer, or a mobile device.
It is not recommended to use your student email for long-term personal use or to link it with third-party services such as Google Photos, YouTube, social media, medical portals, banking, etc.
Getting Started
Email Address Format
- Students use their initials and ID number followed by @students.mclennan.edu. Example: jd0123456@students.mclennan.edu
- Employees use their first initial and last name followed by @mclennan.edu. Example: jdoe@mclennan.edu
Access Email in a Web Browser
You can access your email directly through a browser using Outlook on the web.
- Go to Outlook Web Access.
- Enter your MCC email address.
- Enter your password and complete Duo verification steps.
Access Email on a Computer
You can use the Outlook desktop application on a computer to access your email.
- Open the Outlook (modern) application.
- Select Add Account.
- Enter your MCC email address and follow the prompts to sign in.
Access Email on a Mobile Device
Your MCC email may work with other mail apps; however, the Help Desk only provides technical support for the Microsoft Outlook app, which is the recommended and fully supported email application for MCC accounts.
- Download the Outlook app from your device’s app store.
- Open the Outlook app and select Add Account.
- If your MCC email appears, select it and click Continue.
- If your email does not appear, select Skip and enter your MCC email address.
- Click Continue and select Work or school account if prompted.
- Enter your password.
- Complete Duo verification when prompted.
- Return to the Outlook app if not redirected automatically.
- Select Maybe later when asked to add another account.
Can't log in?
- Wait 5 minutes after changing your password before trying to log into your email account to allow the account to fully sync the new password.
- Confirm you are not logging into Gmail, as Gmail is not enabled or used at MCC.
- Check that you do not have a cookie or cache issue.
- Open an InPrivate or Incognito Tab.
- Go your email at Outlook Web Access.
- Log in.
- If you are able to log in, please close the InPrivate or Incognito browser and then clear your cookies and cache from your main browser. For instructions, visit: Clear Cookies and Cache. Try to log in again.
- If you are still unable to login, please reset your password following all instructions at Manage Your Password (Create, Reset, or Change).
Policy
Your official McLennan Community College email account is provided through Microsoft Office 365. All students, staff, and faculty will use their official college email addresses when conducting college business as per MCC's Official Email Communication Policy.
Termination of Email Access
Email accounts are deleted according to MCC’s account retention policy, which follows admissions guidelines: student accounts are removed after 365 days without enrollment. This policy was implemented in July 2025 to strengthen security and ensure consistency across all college systems.
After a 12-month period without any active courses, your student email account and all associated data, including Microsoft Office 365 OneDrive and Google Drive, will be deleted.
- Upon leaving MCC, be sure to update any accounts, associated with or linked to your student email, with your personal email address.

Impact on Third-Party Services
Once you lose access to your student email, you will need to contact any third-party services using your MCC email address directly to update your email address. This includes account recovery or password reset processes for services previously registered with your MCC email. Emails sent to your MCC email address after deletion will not be received or retrievable.
Help Desk is not able to temporarily enable the MCC email account or retrieve any account recovery or password reset emails sent from third-party services once the email account is deleted.
