Edit Captions in Microsoft Teams
Overview
Microsoft Teams can show live captions during meetings to help everyone follow along. If you recorded the meeting, Teams also saves a transcript. Sometimes, you may need to fix mistakes or remove parts of the captions or transcript. This guide shows you how to view, edit, or delete them.
Getting Started
You can only edit or delete transcripts from meetings that were recorded and where transcription was turned on.
Viewing Live Transcription
Use this feature to follow along with what is being said in real time.
- Join your Microsoft Teams meeting.
- Select the three dots (...) from the meeting controls.
- Choose Turn on live captions to enable real-time subtitles.
- To view the full transcript during the meeting, select More > Record and transcribe > Start transcription.
- Once enabled, captions and transcript will display for all attendees.
Editing or Deleting the Transcript
After the meeting ends, you can make changes to the saved transcript if needed.
- Open Microsoft Teams and go to the meeting chat or calendar event.
- Find the meeting with the transcript and select it.
- In the meeting summary, click the transcript to open it in Microsoft Stream.
- Select the Edit icon next to any transcript segment to change the text.
- To delete a part, click the trash icon next to that segment.
- Changes are saved automatically and will be visible to others who access the recording.
Additional Details
- Only the meeting organizer or someone from the same organization can edit or delete transcript content.
- Captions are generated using AI and may have mistakes depending on clarity, accents, or background noise.
- Transcription must be turned on during the meeting for a transcript to be available afterward.
