Collaborate & Share Files (SharePoint 365)

Overview

SharePoint makes it easy to share files and folders with other people at McLennan Community College (MCC). You can work together on documents in real time, control who has access, and update sharing permissions when needed. This helps teams stay organized and collaborate from any device.

Getting Started

Follow the steps below to share files or folders in SharePoint and manage collaboration settings.

Open SharePoint & Locate Your File

Access SharePoint Online and find the document or folder you want to share.

  1. Open a web browser and go to SharePoint Online.
  2. Sign in using your MCC email address and password.
  3. Open the SharePoint site or document library that contains your file or folder.
  4. Select the file or folder you want to share.

Share a File or Folder

Send access to other users so they can view and edit your shared content.

  1. Select the “Share” option from the toolbar or right-click menu.
  2. Enter the name or email address of the person or group you want to share with.
  3. Choose the permission level, such as “Can edit” or “Can view.”
  4. Add an optional message if needed.
  5. Select “Send” to share the file or folder.
  1. Select the file or folder you want to share.
  2. Select “Copy link.”
  3. Choose the appropriate link settings and permissions.
  4. Select “Copy.”
  5. Paste the link into an email, Teams chat, or other message.

Manage Sharing Permissions

Review or update who can access your shared files or folders.

  1. Select the shared file or folder.
  2. Open the “Manage Access” or sharing settings option.
  3. Review the current people and groups with access.
  4. Change permissions or remove access as needed.
  5. Save your changes.

Additional Details

  • Multiple users can edit the same document at the same time in SharePoint.
  • Changes are saved automatically while collaborating online.
  • Sharing permissions may be limited based on MCC security settings.
  • Use OneDrive sync if you want shared files available on your computer.
